Do I need approval before installing a fence?
Yes. All fence plans and specifications must be submitted for Architectural Review and receive written approval before installation. Certain fence types and locations are restricted within Walnut Hills.
Do I need approval before removing a tree?
Yes. Established or original trees generally require prior approval before removal. Dead, diseased, or hazardous trees may be removed, but replacement requirements may apply.
Do I need approval for a deck, patio, gazebo, shed, pool, or other exterior improvement?
Yes. Plans and specifications must be submitted through the Architectural Review process before construction begins.
How do I submit an Architectural Review Request?
Architectural requests should be submitted through the AppFolio Resident Portal along with supporting plans, drawings, specifications, and photographs when applicable.
Can I install a shed?
Yes, subject to Architectural Review approval. Sheds must meet community requirements regarding location, materials, appearance, and landscaping.
Are ponds available for recreation?
No. The ponds within Walnut Hills are private retention facilities intended for stormwater management and are not designed for recreational activities such as swimming, fishing, boating, or skating.
Can I store a boat, trailer, camper, or recreational vehicle on my property?
No. Recreational vehicles, boats, trailers, and similar equipment may not be stored within the community except for limited temporary periods as outlined in the Rules and Regulations.
Are there restrictions on parking?
Yes. Residents must comply with Village of Bartlett parking regulations and community rules regarding overnight parking, snow events, and vehicle storage.
Are homeowners responsible for maintaining their lot?
Yes. Each homeowner is responsible for maintaining their lot, structures, landscaping, and improvements in a safe, clean, and orderly condition.
What are conservation areas?
Certain lots contain conservation areas that must remain in their natural state. Tree removal, grading, structures, storage, and alterations are generally prohibited within these areas.
Who maintains the common areas and ponds?
The Association is responsible for maintaining common areas, landscaping, drainage facilities, retention areas, detention areas, and other community-owned property.
Am I automatically a member of the Association?
Yes. Ownership of a home within Walnut Hills automatically includes membership in the Association. Membership remains tied to ownership of the property.
How many votes does each homeowner receive?
Each lot is entitled to one vote in Association matters.
When is the Annual Homeowners Meeting held?
Per the By-Laws, the annual meeting is held on or before the third Thursday of May each year.
How many members serve on the Board of Directors?
The Association is governed by a five-member Board of Directors elected by the membership.
Can homeowners review Association records?
Yes. The By-Laws provide that Association books and records may be inspected by members for a proper purpose at a reasonable time.
How are Association assessments used?
Assessments fund the operation, maintenance, landscaping, insurance, drainage facilities, common areas, and other Association responsibilities.
What happens if assessments are not paid?
Unpaid assessments may be subject to late fees, interest, collection costs, and lien rights as provided in the governing documents.
Who do I contact regarding assessment payments, account balances, architectural requests, or maintenance concerns?
Please contact McGill Property Management or submit requests through the AppFolio Resident Portal.
Who do I contact regarding mosquitoes outside of Association common areas?
Walnut Hills contracts for mosquito treatment within designated Association-maintained common areas and conservancy spaces. Concerns regarding mosquito activity on adjacent properties, public areas, private lots, or locations outside Association-maintained property may be reported directly to the Northwest Mosquito Abatement District (NWMAD) for investigation.
